All graduating students attending the Graduation ceremony are required to wear academic robes of the University of Essex (gown, cap/mortar board and hood) appropriate to the degree being conferred.
Please arrange to hire your gown from the University’s official gowning company (see below). Please note that they can only hire out the full outfit. They do not hire out items individually. Gowns ordered from other gowning companies will not be acceptable and you may not be admitted to your ceremony.
Hiring your gown, hood and mortar board
You need to hire your academic robe from the University’s official gowning company, Graduate Gowning Company (GGC), a division of H. Tempest Ltd. Their booking system will open in April 2017.
We strongly advise that you book your gown in advance as it will cost more if you hire it on the day of Graduation. If you’re a wheelchair user, the gown company may be able to alter a gown so that it is easier for you to wear. Please contact the company direct to discuss further.
- Advanced orders (online) – £45
- Hire on the day – £52
You can still try to place an order through the GGC website or call centre after 25 June but it is not guaranteed. The gowning company do take a limited spare stock of outfits to the ceremonies and will charge at a premium rate on a first-come, first-served basis.
If you have ordered and paid for your gown and then find that you are unable to attend your ceremony, please contact the gowning company direct to see if you are eligible for a refund.

Clothing under your gown
On the day of Graduation you may find that it takes time to become familiar with wearing your gown, hood and cap/mortar board, therefore, it is important that the rest of your clothing and footwear are comfortable.
The dress code for Graduation is smart/formal. Denim should not be worn. Any graduand who does not comply with the dress code may not be admitted to the ceremony. For gentlemen this should be a shirt, tie, smart trousers and shoes (not trainers). For ladies we recommend blouses, skirts, trousers, or formal dresses and shoes, or smart sandals (not casual flip-flops or mules).
International students who would like to wear their own national dress are very welcome to do so along with the gown, hood and cap/mortar board.
During the ceremony you will be required to walk up and down stairs within the Ivor Crewe Lecture Hall to be presented to the Chancellor. So we strongly recommend that you wear comfortable footwear. If you will be wearing high heels, please ensure that you feel confident wearing them in order to walk up and down stairs. It is recommended that you bring a pair of flat shoes so that you can change into them if you have problems.
Guest tickets and information
Guest tickets will be available to purchase for £20 each and will admit the ticket holder to the Graduation ceremony in the Ivor Crewe Lecture Hall and to the departmental reception, which includes light refreshments. Please see our Guest Tickets Policy (.pdf) for information.
Purchasing guest tickets
Phase 1 – Sale of two guest tickets per student
All eligible students will be able to purchase up to two guest tickets each in Phase 1 of the booking process which is open until 8 June at 5pm. All guest tickets must be booked and paid for online. It is not possible to book tickets without making a payment. Once a payment has been processed, an email is issued to you and includes confirmation of attendance at Graduation, the number of guest tickets booked, and the amount paid.
If you do not receive an email confirmation within two working days, this will mean that your place at Graduation has not been booked, and guest tickets will not be available on the day of Graduation. In this case, please contact the Graduation Office immediately.
Tickets remain the property of the University of Essex and are non-transferable.
Phase 2 – Purchasing more tickets
Once Phase 1 of the booking process closes, any surplus tickets will be available to purchase online, on a first-come, first-served basis in Phase 2 which opens on 15 June (at 10am for ceremonies on Tuesday and Wednesday, and 2pm for ceremonies on Thursday and Friday) and closes on 6 July at 5pm. Subject to availability, guest tickets for specific ceremonies will be advertised below when known and the number of extra tickets you can buy will be limited.
Phase 3 – Final opportunity to buy tickets
There will also be a final opportunity to purchase guest tickets in Phase 3 which opens on 7 July at 2pm and closes on 10 July at noon (12pm). Tickets are subject to availability as some ceremonies will have already sold out in Phase 1 or Phase 2. For the majority of ceremonies, we are able to offer between one and three extra tickets.
Purchasing returned tickets
Sometimes tickets are returned or become available in the week leading up to Graduation. In this case, you may wish to check by going to the Enquiry Point in the Lecture Theatre Building (LTB) room 6 no earlier than two hours before your ceremony starts.
Bringing children to Graduation
Children aged five and over are welcome at Graduation but every child must be accompanied by an adult who is responsible for the child’s behaviour whilst on campus.
Children under five years of age will not be admitted into the ceremony. Please see our Guest Tickets Policy for information. Children aged five and over may attend the ceremony accompanied by an adult and must have a ticket purchased for them. There are no discounts for children’s tickets. Please note, it is not possible to leave the ceremony once it has started; the ceremony will last for approximately two hours.
If a ticket has been purchased for a child under 5, then a cancellation request must be submitted by the deadline below as the child will not be admitted to the ceremony and money will not be refunded on the day.
Children of any age can visit the live screening of the ceremony in the Lakeside Theatre in Square 5 accompanied by an adult. The ceremony will be screened free of charge and it is possible to leave the room during the ceremony if your child is unsettled. We recommend this option as more suitable for younger children.
Inviting additional guests onto campus for Graduation
Additional guests can visit the Colchester Campus with you on the day of your Graduation, but will not be able to enter the ceremony or departmental reception without a guest ticket.
The Graduation ceremony will be screened live and any guests without tickets are welcome to use this facility to watch the ceremony. Children under 5 are welcome to watch the ceremony in the Lakeside Theatre too so long as they are accompanied by an adult.
Cancelling your guest tickets and refunds
Cancel your guest tickets
If you wish to cancel your guest tickets, you must do so in writing via email or letter to the Graduation Office by 5pm on Thursday 6 July 2017. Requests must be sent by the student and contain the student’s full name, registration number and address, with details of the number of guest tickets that should be cancelled.
All refunds will be processed after Graduation when the University’s Income Section will arrange to reimburse the payment card you used. In exceptional circumstances, a cheque can be issued and sent to a student’s permanent home address, unless an alternative address has been provided. It is very important that you keep your home address up to date via myEssex.
Refunds will be off-set against any outstanding debt owed by the student to the University. Where the outstanding debt is higher than the sum of the refund, no refund will be given.
If you have purchased guest tickets but subsequently become ineligible to receive an award, as determined by the Board of Examiners, you will automatically have your booking cancelled and a full refund will be processed in August. Postgraduate research students, who have not had their award conferred upon them ahead of their Graduation ceremony, will also receive a refund in August.
The Academic Registrar may, in exceptional circumstances, approve a refund in respect of cancellation requests.
