About Office 365

All QMUL students are registered to use Office 365, which is the College’s email service to students and is subject to the same rules and regulations as any IT services provided by the College. Students are obliged to check their incoming email regularly as it is the College’s primary method of communication.

Availability

Office 365 is a 24/7 service which is available on-campus via the University’s Network and off-campus over the Internet.

QM IT Services recommends using the Outlook Web App for accessing your mail. If there are any technical problems using this please contact the IT Helpdesk (its-helpdesk@qmul.ac.uk / +44 (0)207 882 8888).

Office 365 can also be accessed from any email client which can use IMAP or Exchange to connect to the service. If the email client is not covered in one of the Help Sheet then IT Helpdesk can offer further technical support.

Mailbox Quotas

The maximum size of an email including attachments is limited to 35MB.

All students have a standard mailbox storage quota of 25GB. On approaching this size limit students will receive email notifications to free up space as follows:

Deleted Item Recovery

A user-initiated restore utility is available for students to retrieve deleted messages or mail folders from the Deleted Items folder for up to 30 days. Providing the Deleted Items file has not been emptied, Emails are recoverable for a further 14 days by contacting IT Helpdesk (its-helpdesk@qmul.ac.uk / +44 (0)207 882 8888). After this time Deleted Items are permanently deleted.

Service Limits

There are a number of limits within Office 365 that users need to be aware of, these are:

Message Limits

Setting Description Limit
Message Size Limit The maximum total size of an email message. The total size includes the message header, the message body, and any file attachments.

Note: An e-mail client may limit the size of an individual file attachment to a value much less than the message size limit. For example, in Outlook Web App, the maximum individual file attachment size is 10MB.

File Attachments Limit The maximum number of file attachments allowed in an e-mail message. Even if the total size of all the file attachments doesn’t violate the message size limit, there is still a limit on how many attachments are allowed in the message. 125

Multipart Message Limit The maximum number of message body parts that are allowed in a MIME multipart message. 250

Recipient and Sender Limits

Recipient Limit The maximum number of message recipients allowed in the To:, CC:, and BCC: fields. 500
Message Rate Limit The maximum number of e-mail messages that can be sent from a single email client per minute. The client is identified by the user account. 30
Recipient Rate Limit The maximum number of recipients that can receive email messages sent from a single cloud-based mailbox in a 24 hour period. After the limit has been reached, messages can’t be sent from the mailbox until the number of recipients that were sent messages in the past 24 hours drops below the limit. 1,500
