Graduation ceremonies

Congratulations on coming to the end of your current course of study at the university.

At this exciting time we invite you to celebrate your achievements with family and friends at your graduation ceremony.

To ensure that you get the most from your graduation day please read carefully the information on our student booking pages.

If you are a member of academic staff you are welcome to attend a ceremony in this capacity. Please see our staff only pages for further details.

Are you ready to graduate?

If you are due to complete your award between 1 August and 1 January you are eligible to attend the winter graduation ceremonies.

If you are due to complete your award between 2 January and 31 July you are eligible to attend the summer graduation ceremonies.

If you expect to receive your result before the next ceremonies take place, but will not receive it until shortly after the booking deadline, please do not wait to find out your result before booking.

In the event that you do not complete your course successfully we will refund you the cost of any tickets purchased – however, if you wait for your result and miss the booking deadline, we may not be able to fit you in to a ceremony.

Graduate research students

If you are a graduate research student, please refer to the information below to check whether you are eligible. Due to the nature of your studies, it is possible that you will not receive an invitation to book your place. If you are eligible to attend the next ceremonies please contact the Ceremonies & Events team at graduation@kcl.ac.uk once booking has opened.

Phd, MPhil, DClinPsy and EdD students

All Doctor of Philosophy, Master of Philosophy, Doctor of Clinical Psychology and Doctor of Education students are eligible to attend the graduation ceremony relevant to their faculty. When placing your booking you should apply as a student, not as a member of staff.

In order to attend the winter graduation ceremonies your final award needs to be ratified by the relevant Faculty Board of Examiners by 1 December.

In order to attend a summer ceremony, if you are graduating from the School of Medical Education or the Dental Institute, your final award needs to be ratified by the relevant Faculty Board of Examiners by 1 June.

For students from all other Faculties, your final award needs to be ratified by the relevant Faculty Board of Examiners by 1 July. For further information please see the Examinations Office pages.

MD students

Debtors to the College

Certain types of debt mean that your results will not be seen at the relevant examination board and you will not receive an award. Please read the information below to find out more.

Owing a debt to the College

If you have an outstanding debt to the College this could therefore mean that you may not be able to attend the ceremonies.

If you wish to attend one of the ceremonies our advice is that you clear any debt you have to the College no later than ten days before your Examination Board.

If you do not clear your debt on time we unfortunately cannot guarantee that you will be permitted to attend a ceremony, and your place may be cancelled.

Before the day

Once you have booked your place for your ceremony you can begin to make arrangements for the day. Please take time to read the information below in order to ensure you’re ready!

During the booking period, you can amend your ceremony booking in Student Records. You can change your contact details, or the number of tickets you have booked; add any special requirements; request a visa letter; or defer your place.

Once booking has closed you will still be able to view your booking. If you need to amend your details after booking has closed, please contact the Ceremonies & Events Team, quoting your student number.

Special needs

Please be sure to notify us when you book for your ceremony of any special requirements that you or your guests might have so that we can make appropriate arrangements for you. Please note that the special needs section of the form IS NOT for requests for extra tickets.

If you did not provide details when you made your booking it is vital that you do so as soon as possible. This can be done by re-entering the booking system up until the booking deadline, or by emailing the Ceremonies & Events Team once booking closes.

Please also make sure that you read the information relevant to the venue you will be attending on the ‘Venue information’ pages.

Gown hire

Academic dress must be worn by all presentees, and students/graduates should be in smart dress (no jeans or trainers are allowed).

Gown hire is provided by Ede & Ravenscroft and you can book your gown online or by calling 01223 861854. You must book your gown by approximately three weeks prior to your ceremony.

Most students will receive a King’s College London award and will therefore need a King’s College London gown. However, if you are expecting to receive a University of London award please contact the Ceremonies & Events Team who will be able to advise on ordering your gown.

About King’s College London Academic Dress

In 2007 King’s was granted degree-awarding powers in its own right. One of the impacts of securing its own degree-awarding powers was the need for King’s to design its own academic dress, and we are most grateful to Dame Vivienne Westwood for the major role she played in bringing the academic dress, which is based on a medieval design, up to date. Through her reworking of the traditional robe, Vivienne Westwood hoped to “link the past, the present and the future”. The new King’s academic dress design was approved by the College and does not include a mortarboard.

Mortarboards and hats

While mortarboards do not form part of the official academic dress at King’s, they are available for King’s students to wear for their graduation photographs, and there is a selection available at the photography booths on graduation days.  There is no charge for the use of them.

Alternatively, students may hire mortarboard hats for a small fee for use during the graduation event by contacting the Ede & Ravenscroft Private Hire service on +44 (0)1223 205 617. Please note that as hats do not form part of the official academic dress they are not permitted to be worn when crossing the stage and any students hiring hats will be asked to remove them during the ceremony itself.

Foundation degree, BA, BSc, BEng, LLB, PGCert, PGDip, PGCE:

Online: £40.50 / Call Centre: £45 / On the day: £50

MA, MSc, LLM, Mphil:

Online: £45.90 / Call Centre: £50.40 / On the day: £54.00

PhD, MD:

Online: £52.20 / Call Centre: £56.70 /  On the day: £59.00

Gown purchase

You can also purchase a gown. You can purchase your gown online or by calling 01223 861854.

Clergy graduates wishing to purchase a King’s hood to be worn with their choir dress should contact customerservices@edeandravenscroft.com. Please note that these hoods cannot be worn on the day of the ceremony as they are designed specifically to be worn with choir dress.

Visa assistance letters

If you or your guests are nationals of the United States, Canada or Australia, or live legally in those countries, you do not need a visa to enter the United Kingdom. The same rules apply to citizens of most, but not all, South American and Caribbean countries, as well as Japan.

If you are unsure as to whether or not you or your guests require a visa please see the UK Visa and Immigration website for a full list of countries that require a visa to enter the United Kingdom.

How to obtain a visa assistance letter:

If you or your guests require visas in order to attend a graduation ceremony, please complete the relevant section when you book your place. You can re-enter the task to do this up until the booking deadline.

We endeavour to produce all Visa assistance letters within 5 working days of receiving the request.

Please note: You must book your place at the graduation ceremony before we can produce a visa assistance letter for yourself and you must purchase guest tickets for each of your guests requiring a visa assistance letter before we can produce these for your guests.

Visa assistance letters produced by the Ceremonies & Events Team cannot be used to support a visa extension application, for assistance with this, please contact Student Advice & International Student Support

Book your tickets

Booking for the July 2017 ceremonies is now open.

Booking for the January 2018 ceremonies will open in mid-November.

Invitation to book

Eligible students will receive an email from the Ceremonies & Events Team inviting you to book in your place through Student Records. This email will be sent to both your King’s email and to any secondary email address that we hold for you.

Places for ceremonies are allocated as bookings are made, so in order to avoid any disappointment we advise booking your place as soon as possible. On the rare occasion, ceremonies become full prior to the closing date. If this is the case, an alternative ceremony date will be offered to you.

Once booking has opened, if you believe that you are eligible to attend and have not received an email invitation please check your Student Records to see if the Graduation tab has been made available to you.

If you cannot see the Graduation tab, are unable to access Student Records, or have any other issues with your booking, please contact the Ceremonies & Events team.

Students and their guests are strongly advised to book their place prior to committing to travel and/or accommodation plans. The Ceremonies & Events team cannot be held liable for any travel or accommodation booked. 

Student ticket

Student places are free of charge, but you are required to book your place via Student Records to confirm your attendance.

If you wish to defer your place or select to graduate in absentia, please see the information below.

Guest tickets

Guest ticket prices are currently £25 (including VAT) for adults and £12.50 (including VAT) for children under 12.

Barbican centre: Students can purchase up to three guest tickets, subject to availability, until the booking deadline.

Southwark Cathedral: Students can purchase up to two guest tickets, subject to availability, until the booking deadline.

Please do not use the ‘special needs’ section of the online booking form to request extra tickets – this is for details of students and guests with particular access requirements only. Requests for extra tickets in this section will not be considered.

Additional tickets – Barbican Graduation ceremonies

If there are tickets available, the booking for additional guest tickets will open via Student Records on Monday 5 June 2017 at 10am and will close at 5pm on Friday 16 June 2017. If tickets sell out we will not operate a waiting list but any returned tickets will be made available for sale on the day of the ceremony.

During the additional booking period the maximum number of guest tickets available to each student will be raised from 3 to 5; please note that the limit of 5 tickets is inclusive of any you have already purchased. Tickets will be priced at £25 for adults or £12.50 for children.

If you are unable to log on to Student Records to make your purchase please email graduation@kcl.ac.uk with the subject title “Additional Ticket Purchase” and we will provide you with an alternative booking method.

If you wish to purchase further guest tickets after the additional booking period has closed, returned tickets will be sold at the Barbican ticket desk on the day of the ceremony on a first come, first serve basis and will be priced at £28 for adults and £14 for children. If purchasing tickets on the day we recommend you arrive 5-10 minutes before the ticket desk opens for your ceremony. Please note that we can only take cash payments for tickets purchased on the day.

Additional tickets – Southwark Cathedral

If there are tickets available, the booking for additional guest tickets will open via Student Records on Monday 12 June 2017 at 10am and will close at 5pm on Friday 16 June 2017. If tickets sell out we will not operate a waiting list.

During the additional booking period the maximum number of guest tickets available to each student will be raised from 2 to 4; please note that the limit of 4 tickets is inclusive of any you have already purchased. Tickets will be priced at £25 for adults or £12.50 for children.

Deferring your place

If you are unable to attend the first ceremony you are invited to, you are welcome to defer your place through Student Records and come to the following session of ceremonies. You are only permitted to defer once after which point, in fairness to future graduates, it will not be possible to include you in a ceremony.

If you don’t defer your invitation to book but later decide that you wish to attend the next session of ceremonies, it is your responsibility to make yourself aware of the deadline and to book your place. You will not be sent an invitation to book your place, as invitations are only sent to students who have previously selected to defer their place or are being invited for the first time.

If you wish to attend a future ceremony, and you did not opt to defer your invitation to book, please contact the Ceremonies & Events Team to arrange to book your place.

Graduating in absentia

If you do not want to attend your graduation ceremony you may opt to graduate in absentia.

Selecting to ‘graduate in absentia’ means that your name will be not be read out at the ceremony (only the names of those attending are read out). If you select this option you will not be able to attend a future ceremony.

You can choose to graduate in absentia via the booking system on Student Records.

Confirmation of booking

Confirmation of your booking will be shown on your Student Records account in the Graduation tab and will also be emailed to you upon the successful completion of your booking, at the email address you provide for contact regarding graduation ceremonies.

Please ensure that any filters on your email account are set so that emails from us will not be rejected.

If you have not received a confirmation email from the Ceremonies & Events Team within in an hour of completing your booking please contact the office as soon as possible to check if your booking has gone through.

You will have the opportunity to amend your booking through the Graduation tab in Student Records, and once booking has closed you will still be able to view your booking details. If you need to amend your details after booking closes, please contact the Ceremonies & Events Team quoting your student number.
