Room Booking

As part of Customer Services the team is responsible for the centrally bookable teaching rooms at UCL. Our main purpose is to facilitate the delivery of the core academic timetable.

The office ensures that the bookings for these rooms are coordinated such that UCL is able to optimise its use of space and that the centrally controlled rooms are fit for purpose. The team is responsible for liaising with colleagues across Digital Education, Catering, Facilities and Workplace Services, Security; and the Fabric and Projects teams to maintain and develop teaching stock.

Online Booking

Information about UCL’s centrally-bookable space – including existing confirmed bookings, photographs and/or room panoramas, building locations and lists of equipment and features – is available to view on these web pages.

To submit a booking request UCL staff and UCLU societies should login to the Online Booking system using their UCL username and password. External clients should contact the Conference and Events Team by emailing

Please note that the use of central space is subject to your agreeing to all of the conditions which are referred to throughout the bookings process i.e. the Code of Practice on Freedom of Speech.

Note for 2016/17 Timetabling

Please be aware that the on-line booking system is now open. The Room Bookings team welcome requests for bookings but we would ask that colleagues are mindful of the following:

    • Finalising the rooming of the academic timetable remains a challenge and must take priority at this time, regrettably this will impact on service levels in the short-term.
    • Departments must room non-teaching events into departmentally managed space, wherever possible.
    • Requests for events outside of the standard teaching calendar and events which require early confirmation to facilitate complex arrangements (e.g. External research meetings) will be prioritised.
  • Multi-week events are unlikely to be accommodated at this time.

All staff are reminded to ensure that any rooms that are booked but subsequently not needed are promptly cancelled so they can be used by others.

Please note that requests for rooms outside of term time and/or during reading week are more likely to be accommodated and we will be able to confirm these provisional requests within 5 working days.
